Job Summary:

We are seeking a highly organized and detail-oriented HR and Administration Officer to ensure smooth, accurate, and compliant delivery of all HR operational and administrative activities. The HR Administration Officer will manage day-to-day HR operations, employee lifecycle administration, payroll inputs, benefits administration, HR documentation, and compliance with Ethiopian labor laws to support an efficient and employee-friendly HR function.

Duties and Responsibilities

  • Manage end-to-end employee administration (on-boarding, contract preparation & renewal, promotion/transfer letters, resignation/termination processing, clearance, and issuance of service certificates);
  • Prepare and maintain accurate employee personal files (both physical and digital) and ensure strict confidentiality;
  • Handle payroll inputs: collect and verify monthly attendance, overtime, leaves, deductions, allowances, and other variables, and submit to payroll on time;
  • Administer staff benefits (medical insurance enrollment/exit, pension registration, life insurance, transport allowance, etc.);
  • Ensure full compliance with the Ethiopian Labor Proclamation, pension laws, tax regulations, and internal policies;
  • Issue and track HR-related letters (employment confirmation, salary certificates, visa/support letters, experience letters, etc.);
  • Manage leave administration (annual leave, sick leave, maternity/paternity, compassionate leave) in the HR system;
  • Maintain and update the HR Information System (HRIS) / employee database with 100% accuracy;
  • Prepare HR reports (headcount, turnover, absenteeism, new hires, contract expiry, etc.) for management;
  • Manage office supplies and logistics related to HR events (training, town halls, employee engagements);
  • Act as the first point of contact for employee HR-related queries;
  • Support internal and external audits (labor, tax, pension, insurance);
  • Perform any other HR operational and administrative duties assigned by the supervisor.

Educational Qualifications;

  • Bachelor’s Degree in Human Resources Management, Business Administration, Management, or related fields.

 Required Skills:

  • Excellent knowledge of Ethiopian Labor Proclamation, pension, and tax regulations;
  • Hands-on experience with payroll processing;
  • Advanced Microsoft Excel skills and strong attention to detail;
  • High level of accuracy, integrity, and confidentiality;
  • Strong organizational and time-management skills with the ability to meet strict deadlines;
  • Excellent communication skills in English and Amharic (written and spoken);
  • Ability to work under pressure and handle sensitive employee matters professionally.

Years of experience;

  • 4+ years of proven experience as an HR Administrator, HR Officer, Payroll & Benefits Officer, or similar role.
